General FAQs

Q.What time should our milk normally arrive?

Our milk delivery has not arrived or is incorrect. What happens now?
A.

Milk deliveries will normally be made prior to 10:30am.

In the event that your delivery has not arrived or is in any way incorrect, please contact us at deliveries@coolmilk.com . We will then contact the milk depot on your behalf and feed back to you.

Q.Why do I only receive deliveries on certain days of the week?
A.The delivery cycles are set by the local dairy depot that delivers your milk. The weekly sheets you receive may show a daily order but it may be that enough milk is delivered on a particular day to cover all the subsequent days until your next delivery arrives.
Q.How can I amend my order details or let you know about an address change?
A.In order to avoid interruption in your milk supply, please let us know about any changes as soon as possible by emailing amendorcancel@coolmilk.com. All order amendments must be received by 12 noon on Tuesday in order for these to take effect the following Monday. You can amend your contact details on our website under ‘My Account’.
Q.We haven’t received our weekly drinking list, what should we do?
A.

Drinking lists should reach you by Friday in time for the following week. We can send them via email, fax or post, and schools should let us know of any changes in contact details or preferences. If you have not received your lists by this time, please email us at classes@coolmilk.com.

Q.Our weekly drinking list states that we are receiving several times as many pints/litres a day compared to what we should receive, is our order wrong?
A.

The weekly sheets show the number of children drinking per day, not the number of pints/litres due for delivery each day.

Q.Why do you supply semi-skimmed rather than whole milk?
A.

We provide semi-skimmed milk in line with guidance issued by the Food Standards Agency and the School Food Trust. You can request whole milk by emailing us at amendorcancel@coolmilk.com. The FSA says that children should switch from whole to semi-skimmed milk at the age of two, and the School Food Trust also recommends that primary school children should receive semi-skimmed rather than whole milk.

Q.How can we let you know about a training day or day’s closure?
A.We require notification of closure days a minimum of 10 days in advance to allow us to amend or cancel dairy orders. You can do this by emailing us at calendars@coolmilk.com
Q.I have heard that some customers have received a fridge from Cool Milk – how do we go about getting one ourselves?
A.If your order is for 50 or more children per day, you may qualify for a fridge. To request a fridge please email us on amendorcancel@coolmilk.com
Q.Why have we received pints instead of our usual 189ml cartons?
A.Cool Milk endeavours to make sure that schools receive milk in their preferred measure. However, in the occasional event of dairy shortages we will supply the school with a suitable alternative to ensure that there is no interruption in supply to children.
Q.How long should we keep our drinking lists, delivery notes and so on?
A.Paperwork should be kept for a minimum of three years for auditing purposes.

Q.Our milk delivery has not arrived or is incorrect. What happens now?

Milk deliveries will normally be made prior to 10:30am. In the event that your delivery has not arrived or is in any way incorrect, please contact us at deliveries@coolmilk.com . We will then contact the milk depot on your behalf and feed back to you. In the event that the depot fails to make a delivery, we will credit those customers affected.

Q.A parent has queried why their child has not received milk.
A.

Please ask the parent to contact us directly.

Q.My password/email address is wrong/not recognised when I try to log in to ‘My Account’ on the website. Why is this?
A.

Your log in email address will be the address used when you first registered. If your email address has changed please contact us on amendorcancel@coolmilk.com

In the event of unexpected school closures, for example due to adverse weather conditions, we request that you let us know within ten days of the closure to enable us to apply any appropriate credit to parents’ accounts. You can do this by emailing us at calendars@coolmilk.com

Q.How can we make changes to our class lists?
A.

Please login to your school’s account at www.coolmilk.com to make changes to class lists. If made prior to 5pm on Tuesday, the changes will show on the following week’s drinking lists.

Q. Why should my child drink milk?
A. Milk contains nearly all the vitamins and nutrients of importance to humans, including over half of a child’s RDA of calcium vital to help build strong and healthy teeth and bones; and childhood provides a once in a lifetime opportunity to build these strong.

Q. How do I register my child for the Cool Milk at School scheme?
A.

Registering your child couldn’t be easier. Registering your child for school milk is easy and should only takes 2-3 minutes to complete.

Q. How much will I pay for my child’s milk?
A.

 Your child will receive 189ml of milk per day at a cost of just 22 pence per day. The cost is kept low thanks to a subsidy provided by the EU. We operate on a pre-payment basis, and you can choose to pay for the half term, the term or the full academic year.

You can register your child online or you can collect a registration form from your child’s school.

Q.I paid my invoice last week - why hasn’t my child received milk?
A.Due to dairy ordering systems beyond our control, we must receive payment prior to 5pm Tuesday for milk to commence on the following Monday. If you make payment after this deadline, milk will not commence until the next week.
Q.I have received a pre payment invoice for my child’s milk. Which methods can I use to pay?
A.

 You can make payment using all major debit and credit cards either online or by using our automated telephone service on 0800 14 229 72.

If you wish to pay using cash, simply take your invoice along with your payment to your nearest PayPoint facility. To find your most convenient PayPoint facility, please visit their You can find your nearest PayPoint on their website.

Alternatively you can send us a cheque to Cool Milk at School – Payments, PO Box 139, SHEFFIELD, S98 1HE.

Full details on methods of payment can also be found on your invoice. Please note that we advise customers not to send cash in the post.

Q.I am in receipt of benefits – does my child qualify for free school milk?
A. This varies according to the individual local authority. Please contact your local authority or email us at payments@coolmilk.com for further information.
Q. What happens in the event of mid term holidays or sickness?
A. To enable us to cancel your child’s milk and organise credit to your account, you must notify us of any holiday or long term absence by 5pm on Tuesday for it to apply the following week.  If we have already delivered the milk and were not made aware of your child’s absence then unfortunately we are not in a position to be able to refund any monies as we have fulfilled our obligation to deliver the milk.
Q.My child no longer wishes to have school milk, how do I close my account?
A. Please email us at amendorcancel@coolmilk.com, and we will close your account and issue any appropriate refund.
